Instructions - Videoconferening systems

At the conference system there are two remote controls, a silver one for the videoconferencing system (later called VC remote control) and a black one for the TV sets (later called TV remote control). There is also a telephone in each room. You can find the numbers to the respective conference rooms on the right side in the drop-down menu. Before starting the conference, we recommend to make a short test call to the other conference room by phone.

1. Start-up of the videoconferencing system

  1. Turn on the power with the round main switch next to the conference system.
  2. Turn on the conference system with the silver round button on the system. The camera moves to the initial position and after a longer start-up phase the system is ready for use. The camera image, the menu (Camera / Tools / Connect) and the quick keys F1-F4 are now displayed.

2. Establishing a connection

Connection to a conference room at Trier University or UCB (1:1)

Additional participants are not possible with this variant. Use the VC remote control.

  1. Use the arrow keys to select the Verbinden menu item and then press ENTER.
  2. Use the arrow keys to select the Aus Telefonbuch wählen menu item and then press ENTER.
  3. Using the arrow keys, select the Direktverbindungen menu item, then press ENTER.
  4. Using the arrow keys, select the desired conference room and then press CONNECT.
  5. The remote station is dialed and the system waits until someone answers the call.

After the remote station accepts the call, the camera image of the remote station appears.

Connection to the DFNconf room of the system (1:X)

For each system a separate conference room has been created at the DFNconf service. Use the VC remote control.

  1. Press the F4 key to dial the DFNconf room of the system.
  2. After the successful connection, the DFNconf welcome screen appears.
  3. Invite other participants with the links and numbers to the respective room. You can find them on the right side in the drop-down menu.

You have joined the conference and will see any other participants or presentations.

Connecting as a guest to another DFNconf room (1:X)

Use the VC remote control.

  1. Use the arrow keys to select the Verbinden menu item, then press ENTER.
  2. Use the arrow keys to select the Aus Telefonbuch wählen menu item, then press ENTER.
  3. Using the arrow keys, select the DFNconf Räume menu item and then press ENTER.
  4. Using the arrow keys, select the desired conference room and then press CONNECT.

After connecting, the DFNconf welcome screen appears, with the camera image displayed at the bottom center. Once the host joins the conference, you will see the camera images of the participants.

3. Incoming calls

Incoming calls can be answered with CONNECT and ended with DISCONNECT (both on the VC remote control).

 

4. Screen presentations

Presentation (with videoconference)
  1. Connect your notebook using a suitable adapter with the HDMI cable Präsentation Videokonferenz.
  2. The connection and the functionality are identical to the connection of an external monitor or a projector.
  3. The screen display of your notebook appears on the right monitor.
  4. During a videoconference, press the Präsentation button (on the VC remote control) to show the presentation and to hide it later.
Presentation (without videoconference)
  1. Press the Source button on the TV remote control and use the arrow keys to select HDMI 2 (please note that the two TVs are identical in construction and are operated with the same remote control).
  2. Connect your notebook using a suitable adapter to the HDMI cable Präsentation Videokonferenz.
  3. The connection and the functionality are identical to the connection of an external monitor or a beamer.
  4. Your screen display appears on the right monitor.
  5. When the presentation is finished, press the Source button on the TV remote control again and select HDMI 1 with the arrow keys. The initial state is thus restored.

5. End call and switch off the system

Use the VC remote control.

  1. Press DISCONNECT, select OK with the arrow keys and confirm with ENTER.
  2. To switch off the conference system, press the I/O button (power button on the remote control).
  3. Use the arrow keys to select the menu item Ausschalten and confirm with ENTER, the system is shut down.
  4. Now switch off the power again using the round main switch next to the conference system.
